Job Description

Department:  Deans Office - Arts

Salary:  Commensurate with Experience/Education

Description:

Directs and coordinates the academic advising activities of a college or major educational office.

1. Directs, implements and evaluates advising activities for a college or major office.
2. Interprets and communicates academic policies and procedures to faculty, students and staff.
3. Coordinates and supervises the mailing of all letters of recommendation to professional schools and maintains statistics on the number of students entering professional school.
4. Conducts career counseling workshops and provides advise on field of study. 5. Participates in class schedule development and registration tasks, including problem enrollments, drop/adds, and so forth.
6. Supervises the compilation and analyses of data and the preparation of related management reports.
7. Acts as liaison with university administration and faculty on academic matters.
8. Performs other job-related duties as required.

MQ: Requires application of advanced principles, techniques and theory in a professional discipline or a thorough general business management knowledge. Knowledge of this level is typically obtained through a directly job-related Master's degree or equivalent formal training in a recognized field of specialization that is directly related to the type of work being performed. Requires a minimum of one (1) year of directly job-related experience.

Job Duties
Academic Advising
• Provide academic advising to an assigned case load of students regarding course selection, degree requirements, and navigation of university processes.
• Track student academic performance and provide interventions to address academic difficulties.
• Assist students in creating and maintaining academic plans aligned with their goals.
• Assist students in navigating institutional policies, procedures, and resources.
• Direct students to appropriate campus resources, such as LAUNCH, tutoring, career services, CAPS, or financial aid and scholarships.
• Assist students in mapping out paths to timely graduation and identifying solutions to potential barriers.
• Establish strong relationships with students to foster trust and improve persistence to graduation.
Student Retention Initiatives
• Collaborate on designing and executing strategies to improve student retention and success.
• Coordinate the college’s retention and graduation initiatives in collaboration with the Provost Office’s outcomes and goals.
• Analyze enrollment, retention, and progression data to identify at-risk students and trends affecting student persistence to graduation.
• Develop and implement outreach initiatives to engage students who may be at risk of stopping out.
• Coordinate and execute semesterly enrollment and advising campaigns in collaboration with academic advisors including post-campaign analysis and assessment.
• Coordinate and execute semesterly Academic Standing and Mandatory Advising processes.
• Collaborate with faculty, staff, and other departments to align academic and co-curricular support services.
General Responsibilities
• Identify and engage students showing early signs of academic, financial, or personal challenges and provide timely interventions.
• Advocate for policies and resources that enhance student retention and success.
• Provide support and guidance for students in crisis situations, connecting them to appropriate resources.
• Maintain accurate records of advising sessions, retention efforts, and student outcomes to assess effectiveness.
• Engage in analysis of course registration levels, and student course needs, and communicate needs to appropriate college staff and faculty.

Job Requirements
Education
Requires application of advanced principles, techniques, and theory in academic advising, student success, and enrollment services. Knowledge of this level is typically obtained through a directly job-related Master's degree or equivalent formal training in a recognized field of specialization that is directly related to the type of work being performed.
Experience
Requires a minimum of one (1) year of directly job-related experience. Preferred experience of five (years) of job-related experiences in academic advising or enrollment management services.
Certification/Licensing
None required.
Work Complexity
Requires a broad knowledge of principles and practices within academic advising, student success, and enrollment management services. Work is very non-standardized and widely varied, involving many complex and significant variables.
