Executive Assistant (Complex Calendar Management) Location Remote : Job Title: Executive Assistant (Complex Calendar Management) Employee Type: WS Expected Weekly Hours: 40 Location: Remote (MUST work PST Hours) Pay Rate: $59.00 to $61.00 Position Summary This position is responsible for various administrative support tasks for executives across the client's business unit(s). Responsibilities
Anticipate executive (and team) needs and proactively take appropriate action
Calendaring for team members, managers, and executives
Draft/modify reports, presentations, meeting agendas, and communications
Manage assigned incoming and outgoing correspondence on the executive's behalf
Manage travel itinerates of executives including meeting/event logistical planning
Manage assigned procurement, expense reporting, and inventory management items
Manage some correspondence with customers, external partners and vendors/suppliers
Occasionally work 40+ hours in a week to meet certain team milestones
Perform other duties as needed
Education and Credential Requirements
High School Diploma, GED or Equivalent
Eligible to work in the US without RLA sponsorship for employment visa status
Experience Requirements
7+ years of experience in an executive assistant role
7+ years of experience providing general administrative assistance team support
7+ years experience with executive calendar management
Experience managing vendor/supplier relationships
Experience communicating directly with customers and external partners
Skills Requirements
Ability to read, write, and speak English proficiently
High proficiency using productivity software such as M365 (Word, Outlook, Excel, PowerPoint, Visio, Teams and SharePoint)
Ability to use project/program management principles and methodologies to consistently meet task deadlines, triage changing priorities, and track issues to resolution
Ability to collaborate across diverse teams with a customer service mindset
Work Environment
The position typically operates in a standard office environment and/or from employee's home
This is a remote position, requiring the candidate to work PST hours.
Be able to lift and/or move up to 25 pounds
