Seeking a dependable, personable, and organized Administrative Assistant/Receptionist to join an outpatient psychiatry practice. This hybrid role combines in-office responsibilities with the flexibility to work remotely on select tasks. As the first point of contact for patients, this position plays a key role in creating a supportive, efficient, and welcoming environment. The role also includes involvement in marketing efforts and outreach to other healthcare providers and practices.
Key Responsibilities
· Greet patients warmly and professionally upon arrival (in-office or remotely)
· Answer phone calls, respond to voicemails, and route messages appropriately
· Schedule, reschedule, and confirm appointments using electronic scheduling software
· Collect and verify patient information and intake forms
· Process payments and provide receipts as needed
· Maintain a clean, welcoming front office area
· Handle correspondence and maintain patient confidentiality (HIPAA compliance)
· Communicate with clinicians regarding patient needs or schedule changes
· Assist with basic office tasks such as scanning, faxing, drafting letters and email/mail communication
· Support marketing efforts - create and mail flyers
· Engage in provider outreach - send emails, make calls, and coordinate networking efforts with local clinics and professionals
· Perform certain administrative tasks remotely, such as appointment confirmations, patient follow-ups, or marketing support
Qualifications
· Previous experience in a medical office, preferably behavioral health or psychiatry
· Strong interpersonal and communication skills
· Comfortable with both in-person and virtual communication
· Basic familiarity with word processing and electronic medical record systems (EMR)
· Proficient in Technology
· Highly reliable, organized, and capable of working independently
· Ability to manage confidential information in compliance with HIPAA
· High school diploma or equivalent required; associate degree or medical admin certification preferred
Additional Details
· This is a W-2 employee position with regular payroll tax withholding
· Hybrid work schedule: a mix of in-office (especially front desk/patient-facing tasks) and remote work (for back-end/admin/marketing tasks)
· Training and ongoing support will be provided
· Potential for growth in hours or responsibilities over time; flexible hours an option.
